        Congratulations on becoming a new Spark team member! We're so excited to have you on our team, and we can't wait to get you out on your first event! Throughout this training course, you will go through 4 different training modules. Each module will cover a different set of topics that are important to properly perform an event with Spark. During each module, you will watch videos and read the information provided to you before and after each video. At the end of each module, you will complete a quiz which will cover the information provided in each module. Take your time watching these videos and read the content provided. It is extremely important that you confidently understand the information in this training course for success in your field. Once you have completed each one of the 4 modules, you may move on to the final exam where you will test your knowledge over the entire training course. Don't take the final exam until you are confident that you know all you need to know in order to pass. A 100% is required on all quizzes and exams in order to move forward in your training process.

        This first module focuses on what it means to be a Spark Events team member. Take a look at the welcome video and listen to our CEO welcome you to the team. Then move on and learn about communication, using our security system, Slack, equipment accountability, understanding your pay, and so much more.         Your first training video will be going over the ins and outs of the Slack communication platform. We use Slack to communicate as a team and ask that you keep your communication with us on Slack as well.

#Note: Make your user name *firstnamelastname* when setting up your Slack account so that you are easily distinguishable from the rest of the team.

Using the security system

        This video teaches you how to arm and disarm the security system in our equipment room. This video is not long, but the information provided is important. Practice using the ADT system during office hours before your first gig. This way, if something goes wrong (you hear an unbearably loud alarm) or if you need help, an office staff member will be there to help you.

#Note: You will be issued the company wide door access code as well as a personal code to disarm the system as you move through your on-boarding process.

        In this video, you'll learn all about your contracting information hub through DJ Event Planner. You will be able to find and edit any personal information you may have on file with us. You will also use this hub to access your client information for events. This hub will allow you to see and edit client planning forms, view and accept events, view event pay, and much more. You will use this hub multiple times for every event!

        Spark Events tracks equipment using a software and mobile app called EZOfficeInventory. You will need to find this app on the App Store, Google Play, etc. before attempting to grab equipment for an event. The office staff will send you an invite to use the software. Once you setup your account, you will have access to all parts of the app. Give yourself some time to become familiar with each function. 

When you are ready to check out equipment, follow the steps below:

  1. Open the EZOfficeInventory app.
  2. Login if necessary.
  3. Navigate to the QR Scanner.
  4. Scan the equipment. Press Completed when finished.
  5. Verify the equipment you are checking out.
  6. Press Check-Out to complete the check-out process.

When you are ready to check in equipment after your event, follow the steps below:

  1. Open the EZOfficeInventory app.
  2. Login if necessary.
  3. Navigate the QR Scanner.
  4. Scan the equipment. Press Completed when finished.
  5. Verify the equipment you are checking in.
  6. Press Check-In to complete the check-in process.

#ProTip: If the QR scanner is not working, you can always check out by manual input. Just type the labeled equipment in the search field.

Here are several points over equipment management:

  • You are solely responsible for equipment that is in your custodyfrom check-in to check-out.
  • Equipment is always due on the next business day. If a system is booked out more than once between your check-in and the next business day, you will be notified and expected to return equipment after your event concludes.
  • If you discover something wrong with the equipment, notate the discrepancy on your post-event form. 
  • Have good form. If equipment is not put away properly, you may be responsible for correcting the mistake.
  • Keep the equipment as clean as possible!

       You will learn the right way to communicate with clients and how to execute a planning call. Planning calls take place for every event, so it's important for you to understand how they happen. You will also learn the do's and don'ts of client communication and how to deal with a client that is not satisfied with a situation. Pay close attention because details matter to clients, so they should matter for you too!

        Being able to read and understand the Schedule of Events is imperative. The Schedule of Events gives you a brief overview of your event as well as other events happening in the same month. You can find information like your system color, event start and end times, estimated setup times, Spark point of contact, and much more. The Schedule of Events is posted on the Slack #team-announcements page every Monday.

Understanding each Element: 

Event: The first section of the schedule is the "Event" section. You'll be able to see the name of the event you're attending.

Event Type: The "Event Type" describes the type of event.

Event Point of Contact: This section shows you who to contact at the event if you have questions or concerns.

Spark Point of Contact: This tells you who to contact at Spark if you have questions concerning your event.

Service(s) Provided: The service or services that will be performed at the event.

Package: The package that will be used for the event.

Power Up(s): Any additional services that will be provided on top of the service that has been purchased.

Assigned System Color: The color of the equipment system that you will be taking to your event. You may only take this system color unless told otherwise.

Estimated Setup Time: The recommended setup time for your event. 

Event Starts: The time that the event starts. (What time you will be starting your servicenot the time the actual event starts. Ex: The DJ will start deejaying at 7:00 PM)

Event Ends: The time that the event ends. (What time you will be ending your servicenot the time the actual event ends. Ex: The DJ will finish deejaying at 11:00 PM)

Hotel: Whether the price of a hotel is added to your pay. You are responsible for booking and purchasing your own hotel room, but you will receive an allowance for the room. $100 dollars if you're the sole Spark service provider at the event, and $50 if you are performing the event with another Spark contractor.)

Venue: The venue(s) that your event will be held.

Team Member(s): The team member(s) assigned to the event.

Alternate Team Member: Team members in place to take your place if you are unable to perform the event due to an emergency.

        The Schedule of Events is a quick reference guide for you to be able to see essential information. You should not be using this as the only source of information, but rather as a reference to information that you have already reviewed. Use your contractor login to access the rest of the information needed for your event in the planning forms, notes, and client information.
